Job Description

RESPONSIBILITIES and ROLE

  • Answer phone to address queries, requests, orders, deliveries and quotes.
  • Learn and master IT associated with company systems relating to Hire/Demo/Loaner processes.
  • Process orders and documents required to ship orders to fulfil daily and weekly requirements. Attention to detail is an essential requirement. Be prepared to juggle and multi-task requirements all day long.
  • Organise time management to maximise productivity recognising priorities and timelines.
  • Actively, clearly, and timely communicate events associated with activities to various community members. Utilisation of phone, voicemail, email, letters and facsimile machine may be required.
  • Accurately maintain all Hire and Demo kits and accessories
  • Ship and accurately log all Hire/Demo repair requests on the internal computer systems and to arrange collections in a timely fashion.
  • Generate accurate details of used consumables for invoicing.
  • Monitor stock levels of standard packaging materials
  • Ensure custom made transit cases are maintained in good safe condition
  • Maintain accurate levels of emergency stock of consumables
  • May be called upon to show flexibility in other roles beyond the remit of the administrative function.
  • Manage and organise work area to enable others to locate work when absent. Filing should be addressed daily and weekly.
  • Engage with team members and other staff to problem solve and be proactive with solutions.
  • Take initiative to recommend new ideas, improvements in operation and suggestions to create an environment dedicated to continuous improvement.
  • Learn basics of products and function to assist customers on their needs and pose service ideas. Keep Account Managers apprised of their customer's requests and actively call on them for support and suggestions.
  • Understand and conform to company rules and policies including business conduct, corporate ethics, quality system compliance and regulatory affairs requirements.
